In this blog, I’m going to talk about one of the best email productivity tools for business owners!
As an entrepreneur, I own a few domains, and with it, multiple emails. To set up each email inbox for my team, having to login each of those inboxes to send and receive e-maills, has been a headache! Not only for me, but for my entire team! So I looked for something that would help me and my team received all our work emails from different domains in one inbox per user – and that’s how I found Mutant Mail!
The founder of Mutant Mail – Abhishek Anand – has been so nice to do a live stream with me so more users understand how to use Mutant Mail and how it can help increase productivity.
What is Mutant Mail?
Mutant Mail is an email consolidation tool – it can consolidate emails and be received in one inbox. Then from your inbox, respond to these emails as if you are responding from that specific email IDs.
For example:
[email protected] and [email protected] emails are received in the inbox of [email protected]
When I receive the emails, I can respond to the sender from my inbox at [email protected] as if I’m sending from [email protected] or [email protected] or [email protected] depending on which email ID the sender sent the email.
For example:
[email protected] sends an email to [email protected]
This email will be received by [email protected] in [email protected]
When I hit the reply button in my inbox [email protected], I am replying to [email protected] as if it is coming from [email protected]
And each of my team mates, for example [email protected] and [email protected] are received in the inbox of [email protected].
Similarly, when person1 receives the emails, person1 can respond to the sender from his/her inbox at [email protected] as if he/she is sending from [email protected] or [email protected] or [email protected] depending on which email ID the sender sent the email.
Quite cool, isn’t it? Well there are so much more cool features!
But before I start with the features and benefits, let talk terminology as it can get a bit confusing between sender, recipient, client, etc), let have the following definition which we will use in this blog.
Recipient ID – this is the main inbox, or in my case [email protected]
Client ID – this is the email IDs created in other domains, or in my case, [email protected] and [email protected]
Sender ID – this is the email ID that sent an email to any of your emails. In my case, it is [email protected]
Server side e-mail solution and setting up the domain in Mutant Mail
What does server side email solution means for you? This means there are no SMTPs, IMAPs, etc. This saves on email hosting cost. Use can use any email ID as central inbox (like your free Gmail or any email account) to manage emails of your domain. Once you setup your domain on Mutant Mail (you will need to add SPF, MX, DKIM, and DMARC records to your domains for this to work), all you have to do is setup the users in Mutant Mail.
I am not very technical myself, and I needed the help of Mutant Mail to setup the domains. Mutant Mail provides this service at 30USD per domain (without video recording) or 55USD per domain (with video recording).
What exactly can you set-up in Mutant Mail?
1. Assign multiple client IDs to a single recipient ID (example: [email protected] and [email protected] emails are assigned to and goes to the inbox of [email protected])
2. Assign display names for each client ID (example: I can set display name of [email protected] as Elma of Domain1, and [email protected] as Elma of Domain2)
3. Assign email signatures for each client ID. You can use either a text format or HTML format for signatures.
4. Batch emails. Ever signed up for newsletters and you get too much email from these senders? You can assign an email ID to receive newsletters and set it up in a way that you receive it weekly or monthly or how frequently you want it. You’re the boss! And you can respond to these emails too.
What about email viruses and spams?
Each email on Mutant Mail servers pass through antivirus for malware, spyware and virus scan. That’s on top of Mutant Mail’s spam/bot filter. Plus you have the option to set extensive rules to block spam at your account level.
How about email privacy and security?
All the emails or contacts are neither logged nor stored in Mutant Mail’s servers. Mutant Mail also comes in with free DMARC report to protect your domain.
So if the emails nor contacts are not stored in Mutant Mail’s servers, where are these stored?
The emails and contacts are stored in the recipient email ID (in my case based on the example above, it’s stored at [email protected]). Mutant Mail only acts as routing system in your client’s email IDs and recipient email ID.
Thus, it ensures your brandin/domain identity is maintained when you hit reply on your recipient email id.
Will the sender ever see my recipient email ID?
No, unless the sender sent the email directly to your recipient email ID.
Can emails have attachments?
Yes you can add attachments to emails forwarded and replies. Attachments count towards your bandwidth.
The max email size is currently set to 10MB (including attachments).
Can I add a domain while using it for email somewhere else?
It depends.
If you are using the same domain for sending at other provider or system (like autoresponder or send email from hosting), you can use Mutant Mail along with it.
But if you want to have couple of email ids going to your existing inbox and rest routed via Mutant Mail, than that’s not possible.
This is because emails cannot be handled by multiple different mail servers at the same time, even if they have the same priority MX records. It can only be delivered to one mail server at a time which will typically be the MX record with the smallest number since this has the highest priority.
So, either migrate to MutantMail by removing the current provider’s MX records and adding MutantMail’s.
If you would like to keep using your domain with your current email provider then add subdomain of it to MutantMail such as mail.example.com.
Using a subdomain will not interfere with your current email setup and you’ll be able to create email ids like *@mail.example.com through MutantMail.
Can Mutant Mail organize my emails?
You can set-up mutant mail to organize your emails in a way that you can set when you receive the emails in your recipient ID inbox. Typically, the recipient ID’s email provider has tools to label or filter or organize these emails.
Conclusion:
Using Mutant Mail has saved me a lot of time by
- Being in control when I receive emails
- Organizing and consolidating all my emails received from via different client IDs in one inbox.
- Be able to respond to sender IDs as if I am responding from my client ID. So all the branding is kept.
